Privacy when booking with Catch a Minicab
This notice covers visitors to this website, people requesting quotations, booking customers, passengers and anyone who contacts our team. It explains how data is used across the quotation, booking and journey process.
1. Who is responsible for the information?
Catch a Minicab operates this website under the Catch a Minicab brand. References to “we”, “us” and “our” mean the business responsible for the website and related booking arrangements.
As the service develops, we may revise this notice. The version published here describes our current approach; please check it again when making a new booking if you would like to review any updates.
2. Information collected during your journey with us
Different stages of using our service call for different details. We may process:
- Quotation and journey information: pickup and drop-off addresses, travel dates, times, stops, flight numbers, passenger numbers, luggage and additional requirements.
- Contact and account information: names, email addresses, telephone numbers, booking references, account records and relevant billing details.
- Payment records: amounts, transaction references, payment status and billing or security information handled in connection with payments.
- Support correspondence: messages, enquiries, complaints and the details needed to investigate them; call recordings may be processed where applicable.
- Website and security records: IP address, browser and device information, referral details, page activity and other technical data, depending on the tools in use.
Booking customers may provide passenger information about someone else travelling. Only provide the information needed to arrange that journey, and make sure the passenger is aware that it will be used for their transfer.
3. Reasons for processing your information
We use journey and customer details to calculate quotes, create and manage bookings, arrange pickups, communicate changes and support passengers before or during travel. This is generally necessary to take steps before entering into a contract or to perform a contract.
We may also use relevant records to maintain reliable systems, resolve complaints, protect against fraudulent activity and establish or defend legal claims. These activities may rely on legitimate interests, where appropriate. Certain financial, tax or regulatory records must be processed to meet legal obligations.
Where we rely on consent for a particular activity, you can withdraw it. Withdrawal does not invalidate activity already carried out lawfully before that point.
4. Sharing details with people involved in your booking
A booking cannot always be delivered by the website alone. Information needed for a journey may be made available to the assigned driver or a transport partner, for example to identify the passenger, locate the pickup point or make contact about the collection.
Service suppliers may also handle relevant information on our behalf, including payment processors, website hosts, email or messaging providers, and fraud-prevention or security systems. We aim to share only what is appropriate for the task, and may disclose information where required by law.
Payment-card transactions are handled through specialist payment systems. We do not directly store complete payment-card details in ordinary booking records.
5. Keeping records for the right amount of time
The time we retain information depends on its purpose and any applicable accounting, legal, licensing or dispute-resolution requirements. Information is not intended to be kept indefinitely without a reason.
- Customer and payment records: relevant financial or transactional information may be retained for up to six years after the relevant financial or tax period where required for accounting, taxation or associated obligations.
- Journey records: operational journey information may ordinarily be held for up to one year after travel, with longer retention where a dispute, safeguarding matter or other legal or regulatory reason makes it necessary.
- Messages and technical information: correspondence and identifiable website records are retained for periods appropriate to support, security and operational needs; anonymised or aggregated analytics may be kept longer.
When information serves several purposes, it may need to remain available until the longest relevant retention requirement has been satisfied.
6. Your rights and how to use them
UK data protection law may give you the right to see the information held about you, correct inaccurate details, request erasure, restrict processing, object to certain uses or request data portability. These rights depend on the circumstances and are not unconditional.
We may need to check your identity before responding to a request, particularly where a response could reveal someone else's booking or contact information. Some records cannot be erased immediately when they are required for active services, legal compliance or the protection of legal rights.
We aim to respond within the time required by law. You may also complain to the UK Information Commissioner's Office (ICO) if you are concerned about how your personal information has been handled.
